AGM Feedback

We met for our Annual General Meeting 21/11/25. Please find some notes below, and a copy of the

Key Points from the AGM

  1. Leadership Transition

    • Current chair intends to step down at the end of the year. Expressions of interest welcome PTA-ClaverdonSchool@outlook.com

    • Continuity will be maintained for essential functions like banking and charity governance, but fewer events may be initiated to reduce burden on small number and highlight the need for volunteers.

  2. Volunteer Engagement

    • Strong turnout for one-off events (fun run, discos, gift shop), but limited interest in leadership roles and planning.

    • Suggestion that reducing activity might be needed to support wellbeing of existing volunteers.

  3. Financial Overview

    • Last year raised over £12,000, largely successful through grants and events.

    • Some fundraising streams (lottery, easy fundraising, recycling) show declining engagement.

  4. Event Planning

    • Christmas Activities: Operation Snowflake, gift shop, wreath-making confirmed. Carol event dropped due to lack of organisers.

    • Future Ideas: Easter raffle, summer fair (possibly simplified with inflatables or circus skills), and exploring new events like a first aid course for children.

    • Discussion on scaling back smaller events and focusing on three major seasonal activities (Christmas, Easter, Summer).

  5. Challenges

    • Difficulty recruiting volunteers for planning roles.

    • WhatsApp group management raised concerns about safeguarding and conduct; suggestion to review and formalise.

  6. Fund Allocation

    • Consider subsidising school trips or providing classroom resources to ease financial pressure on families.

    • ICT investment (Chromebooks/iPads) likely needed Summer 2026; FCPS to contribute.

  7. Operational Updates

    • Uniform sales running smoothly under new volunteers.

    • Lunchtime supervision going well with volunteers but more help needed.

    • Ongoing fundraisers like Cauliflower cards and 100 club continue but need to identify new co-ordinators as current volunteers in upper KS2 and will soon be leaving.

    • "Operation Snowflake" Few updates last year, so some additional decorations planned for this year. Christmas Corridor Decoration. Plans for a festive backdrop with navy fabric, lights, gingerbread houses, and decorations.

  8. Other Notes

    • 100 Club / Lottery Licence.  The committee agreed for Sarah Dougle to act as promoter alongside Emma, Michelle and Stacey, for the 100 club and to certify the 100 club returns to Stratford District Council.

    • Bank account fees under review; possible switch if fees aren’t waived.

    • Push for new leaders anticipated as many current ones leave as they are upper KS2 parents.
